The Role:

Primarily to provide full administrative and organisational support to the CEO and Chairman of the company. The role also provides support to others on an ad-hoc basis where agreed and appropriate.



  • Extensive diary management – gatekeeper of CEO and Chairman diaries
  • Assistance with meeting arrangements as required, ensuring executives are fully prepared for all meetings including but not limited to production of meeting packs, agendas, location details in advance
  • Collating and distributing papers as required by the executive team
  • Management of travel bookings and all itinerary planning Inc. flights, taxis, hotels
  • Proof reading documents as required and drafting emails/communications, e.g. e-mails/reports for executive team, press releases, internal magazines etc.
  • Answering and screening incoming telephone calls, relaying accurate messages in a professional and timely manner
  • Processing expenses and invoices for payment for CEO and Chairman and own company credit card
  • Scanning, photocopying and binding packs as required
  • Typing letters, e-mails, assisting with the preparation of paperwork and/or amending Power-point presentations
  • Keep and maintain accurate paper and electronic records on behalf of CEO and Chairman
  • Minute general meetings as requested complete the typing up of minutes for distribution in a timely manner – including weekly Executive Management meeting
  • Undertake any additional tasks as requested including some non-company related tasks as required to ensure full day to day support for the executive team
  • Support with drafting communications/reports etc. for the CEO and Chairman, as required


Skills & Qualities:

  • Previous experience supporting C-level professionals in an PA/EA capacity
  • Strong knowledge of Word, Excel, Power-point and Outlook
  • Understanding of basic Compliance regulations affecting role
  • Strong time management and organisational abilities
  • Excellent interpersonal skills – able to communicate professionally, effectively at all levels within the Company and with external clients
  • Able to multi-task, work to deadlines and adapt and operate effectively and efficiently in a fast-moving often pressurised environment
  • Proven experience supporting senior level roles, ideally in a financial services environment
  • Maintains and promotes high ethical standards by demonstrating honesty, integrity and fair dealing at all times internally and externally, promoting and enhancing the good reputation of the firm
  • Acting with due skill, care and diligence
  • Being open and cooperative with the FCA, the PRA and other regulators
  • Paying due regards to the interests of customers and treating them fairly
  • Observing proper standards of market conduct
