The Role:

This role will be part of EMEA Operations, supporting clients, candidates, and senior executives within the company. This is a high growth, scale-up environment, therefore this individual will be joining the business at an exciting and pivotal time. This role requires a person who embraces change with a flexible and adaptive mindset, who is comfortable operating outside the realms of their core job specification.


The core of the role is focused on enabling the seamless execution and delivery of client engagements, and collaborating with the wider team on their daily tasks. This includes liaising with some of the most talented executives and investors in the technology industry and working with the most innovative and cutting-edge companies worldwide. This individual will also have the opportunity to support in other areas, adapting to the changing needs of the business as it scales at pace.


This role requires a service-minded individual, with great attention to detail, impeccable organisational skills, flexibility, and global stakeholder management capability. Location: Office based in London


 Project Coordination:

  • Day-to-day liaison with senior stakeholders
  • Ensure accurate set-up and close down of projects
  • Coordinate and deliver supporting activities within the project
  • Monitor and track tasks planned for the project team
  • Maintain accurate reporting on internal project data sheets

Calendar and Meeting Management:

  • Manage scheduling and prioritisation for partners, clients, and candidates
  • Support meeting preparation, including allocating appropriate time slots and ensuring awareness/preparation, as well as preparing agendas, note taking, and follow-up on staff actions

Data Management:

  • Maintain proprietary database of all search-related candidate and client information
  • Ensure accuracy of outgoing material by proofreading and formatting client- and candidate-facing documents

Additional & Ad-hoc duties:

  • Office management tasks, including new starter set-up; internal recruitment scheduling; team socials; health & safety
  • Provide global travel coordination for the company and candidates
  • Process expense reports for partners and candidates
  • Projects to support the overall betterment of the organisation, such as increasing efficiency through new or improved processes


Experience and Qualifications:

  • Fluent English speaker; another language is desirable
  • Exceptionally organised with proven administrative skills, such as coordination of multiple projects at once in a seamless manner
  • Excellent attention to detail with an emphasis on providing accurate and timely work
  • Proactive communicator, able to identify and anticipate problems and escalate as appropriate
  • Resilient with good initiative – able to deal with busy executives and their schedules in a positive yet firm manner and proactive in chasing people to achieve aims
  • Adaptable – able to flex between tasks and prioritise effectively in a busy work environment; able to adapt ways of working to different personalities as well as different cultures and nationalities
  • Strong skills using MS Office & G Suite (Excel, Word and PowerPoint) – Apple experience a plus
  • Presentable and professional at all times
  • Drive, enthusiasm and can-do attitude – be an active member of the team, bringing a positive and fun outlook in contributing to making us a first-class place to work


Desirable experience:

  • Working in a fast paced office and/or startup environment
  • Supporting senior level executives and/or successful partners in an executive search firm
  • Managing busy international scheduling
  • Office admin
