The Company

Our client are a successful independent investment boutique, managing portfolios for UK and international private investors, trusts, corporates and charities. They are independently owned by the Partners and employees.  Since the foundation in 1993, they have focused on a single objective – protecting and growing the real value of their clients’ capital over the long term.

Responsibilities:

  • Line management of the Receptionist to ensure hospitality expectations are met, as well as acting as support and cover to the front of house receptionist position
  • Management of all maintenance works and contractors
  • Management and coordination of office modifications
  • Management and oversight of Health and Safety at work
  • Management of cleaning contract
  • Coordinate and work closely with the Operations & IT Teams regarding office moves
  • Equipment set up/collection for new starters and leavers
  • Managing the onboarding of staff in respect of set up and booking of standard induction meetings
  • Managing security systems, policies & procedures
  • Responsible for maintaining Office Insurance Policy with the Risk Team
  • Working closely with building management
  • Ensuring carbon footprint is minimised and that the products we use in the office are sustainably sourced, in line with the company values and principles
  • Assisting with the organisation of Internship Program, Work Experience and Insight Days
  • Work closely with and, where appropriate, provide support for the business support team (eg holiday cover projects, etc)
  • General administrative matters
  • Ad hoc duties and project work as directed

 

Requirements:

  • 5 years+ Office Management experience
  • Prior experience managing another member of staff
  • Tech savvy
  • Experience in a busy office environment
  • Self-motivated – ability to deal with ambiguity and making educated decisions when necessary
  • Super-organised, proactive and polished
  • Friendly, sociable and energetic
  • Trustworthy and reliable
  • Articulate and a strong communicator
  • Confident with the ability to build effective relationships throughout the company and externally
