Receptionist – Investment Management

The Company

Our client is an investment management firm based in beautiful offices in London and overseas. The company is growing rapidly and is seeking 2 exceptional and impeccably presented receptionists to be the first point of contact for visitors and guests and manage the day to day operations of the London office. In addition to ensuring the office runs efficiently, duties including facilities management and some office administration such as travel booking and diary management will be required. There is a potential opportunity for career progression further down the line for the right candidate.

London – Office Based

 

Responsibilities:

  • Meeting and greeting all clients and visitors
  • Management of meetings rooms including diary schedule, set-up and clearing
  • Liaising with building management to organise passes for guests
  • Calling appropriate host upon visitor arrival and escorting the guest to meeting rooms
  • Liaising with catering companies for events, client meetings and corporate lunches
  • Taking inbound calls and transferring to the relevant person or taking accurate messages
  • Management of all incoming/outgoing post and booking couriers
  • Booking travel and taxi services
  • Copying, scanning and printing duties
  • Ordering of some office supplies including stationery, drinks, refreshments
  • Assisting with the organisation of office social functions and restaurant bookings
  • Assisting the Office Manager with ad-hoc various duties
  • Deal with facilities including liaising with building management
  • Liaise with housekeeping to keep the offices in good order
  • Expenses
  • Additional travel and diary management support to the wider team as and when required
  • Assisting the team with board organisation including venues for dinner and catering

 

Requirements:

  • Experience in a similar role is advantageous
  • Well organised and proactive with a strong eye for detail
  • Immaculate presentation and communication skills
  • Excellent IT knowledge, particularly Microsoft Office (Word, Excel, PowerPoint and Outlook are a must) and Microsoft Teams
  • Confident, polite and professional at all times
  • Flexibility and a willingness to undertake varied responsibilities working alone or as part of a team
  • Excellent English language skills (written and spoken)
  • Able to work without supervision and under pressure
  • Able to work well with a wider team
  • Proactive and ‘can do’ attitude – no ego
